I dont even have one office base. I live in south Wales and we have offices in south, west, mid and north Wales. my presence at offices is demand led so do I predict worst case scenario and base it on the office furthest away from me? its bonkers!! My closest office is 10 miles away, my furthest office is 200 miles away…..

Letter from HR, contract, schedule/timesheet.
That one isn’t hard, and in fact required in other situations too, for example car insurers can request it if they think there’s a discrepancy, parking permits, expenses etc.
Subcontractors (which i assume is what you mean by self-employed working for a company) record their schedule in a similar way. Timesheets/invoices, contract/statement of work, client confirmation letter.
These changes are plenty arse as they are, there’s no need to deliberately overstate the impact of non-issues, especially if no one complained prior.
The real sticking point is still the 25p instead of a more reasonable and more average rate. That one i can’t wrap my head around.

It is simple.
If you request mileage support and do excess of 10k miles, you will have to have Drive Smart fitted to get the “support”.
From that they can log every journey from home to work and back.
Its not complicated, they will just ask you for your work postal code and let drive smart do the rest.
Why do you think they were keen to have the wedge fitted to every vehicle??

This adds a new level of stress to what used to be termed “stress free motoring” and will need a team of employees (which Motability customers will be paying for at top dollar) to administer and police. Why on Earth they don’t just have variable APs based on what mileage levels each customer needs, just as every single other leasing company manages with ease, is completely beyond me!

Indeed. However, if anyone does go down that route they need to be careful as some tools like the OBDSTAR X300M cannot always access some of the modules. In some BMWs, the millage is held across several modules. What will be popular are the Mileage Blockers.
As there is no BMW’s on the scheme that will not be a problem, as for mileage blockers once removed from a car the actual mileage that has been driven will appear on the dash. They don’t tell you that bit when you are buying them.

No, its £500 per year, so over a 3 year lease its £1500.
That is up to 20k miles per year, or 60k over the 3 year lease.
The other point is…it is NOT. A tax.
It is a FEE outwith the agreed mileage limit of 30k miles over a 3 year lease.
It is entirely up to the customer to decide if they wish to go over the limit and its in black and white what they will have to pay at lease end.
If you go over 20k miles/year, it is 25p miles over and above the £1500 per lease.
The matrix above lets the customer know the criteria for excess miles and the rates.
It says nothing about how they will administer it. But Drive Smart would be the easiest option. We will know soon enough how it is going to go, as new customers will be applying for excess miles.
It is true these are drastic changes, but you do forget it is a car leasing company,. If you go with another leasing company the rules are very very clear.
Lex Autolease, my provider, the excess rate is 16.3p/mile
July 9, 2026 at 10:55 am #372502It’s an absolute cluster f. I can see a lot of court/tribunals? down the line. Also a lot of dodgy stuff.
As I volunteered in mental health services I know of a lot of folk who go private for their ‘special needs’* children. Like sensory rooms, PTs, support groups etc. Some of these are just small independent setups. Will motability except these as they are not NHS. If they do how easy would it be to setup a fake scenario.
Example, me. My old football mate is a PT and while he lived in the same area as me I would occasionally use him, and he done it as a favour. (I always threw him a few quid mind). Moved away a while ago, not sure think it’s about 120 mile round trip. So I could just get him to say I’m using his PT service when I’m not. Is that illegal or just morally wrong. Nothing stopping me doing it though. And the cars that can be clocked, yes it’s illegal, but it will get done.
Is a private sensory room etc the same as an NHS appointment? Is a voluntary job the same as a paid job? Can I argue that I have to travel further to a supermarket because it’s cheaper than the one closer to me? Another example, me. I do not go to the grave yard where my mum, dad and sister is buried, I hate it, nowt but sad memories of putting them in a hole. Instead 6-10 times a year I travel to a spot that is a 96 mile round trip to remember them as that’s were we had many happy times on holidays. It’s good for my mental wellbeing, should I just stop now? Or just pay up.
Ack I’m rambling now. I think the best thing for me is like a lot of others and just get of the scheme and get a wee 5k or so run around.

Total work miles 19398
As they assume 3k of the 10k is for work, does that mean that they would assess 16398 as additional work mileage meaning:
26398 total mileage a year
Or will they basically cap my mileage at 20k regardless?
We were paying excess anyway, and were happy to do so, so if I can get circa 27k miles a year, at £500 a year, then actually Im happier about it, as thats our normal expectation (give or take a couple hundred quid) Christ its an absolute minefield

No overall total restriction in theory, however any mileage over 20k per annum will be charged at 25p per mile.

You must agree your annual ‘work mileage’ with Motability in advance, but practically it is 10k on top of your 3k included as standard. Anything else will be 25p per mile.

Assuming you use your full 7000 miles ‘leisure/pleasure/domestic’ for those purposes per annum (and your 3000 miles for work per annum), then your remaining 16000 work miles per annum would be charged as follows providing your annual total work mileage is agreed with Motability:
Your work miles 3000 to 8000 – charged at 10p per mile (so £500)
Your work miles 8000 to 13000 – free (£nil)
Your work miles 13000 to 16000 (plus any extra) – charged at 25p per mile (so £750 based on 3000 miles)
So, £500 + £0 + £750 = £1250 per annum.
So, over the 3yr lease = £3750 assuming you do exactly the same each year.
Christ its an absolute minefield

If you tot up the mileage bands from top to bottom, it shows 10k, then 5k, then 5k, then:

Plus someone asked about mileage over 20k per year on Motability’s fb page and got 25p per mile as their answer.

This is the problem isnt it, they just make life difficult

Blue – 10k
+
Green – 5k
+
Ceres – 5k
That totals 20K
Orange is any miles over 20k charged at 25p.
I like the asterisk at the bottom .
Additional mileage must be evidenced, and Agreed in ADVANCE through their AGREED processes
Some would read that as A-GREED. A greedy bar stewards ..lol

In particular the two lines:
If further mileage over 15,000 miles is agreed with us, it will be charged at 0p per mile up to 20,000 miles in total.
If additional mileage is used over any level agreed with us, it will be charged at 25p per mile.

As for Motability clarifying matters on Facebook (other social media are available) it came from Motability’s official fb page where many people do ask Motability questions including those who cannot use a telephone etc.
Like it or not, it is now an accepted method of communication with companies and for a company to respond. For many younger customers social media is their first point of call rather than waiting hanging on the phone or using e-mail etc. It gives a written response from the company that can be used to ‘remind’ the company of whatever they posted if printed out or ‘screenshot’.

Its not that you are pedantic at all. There is no argument with Motability, it is their rules whether you argue with them or not. It is their rules.
But you are not the only one getting mixed messages about motability Graphics.
Nearly everyone is as confused as you are over the way it is explained.

All other Motability costs are expressed as ‘per lease’ and it is clear from questions in this thread that some folk are interpreting this in the same way.

Yes that is the biggest problem with their explanation. They should explain it using one timeline over a 3 year lease.
The mileage allowance should always be explained over the total 3 year lease.
